Executive Assistant/Office Manager

About the Role

Smarttech247 are seeking a highly organised and proactive Executive Assistant with the ability to seamlessly take on the responsibilities of an Office Manager. The successful candidate will contribute to the smooth operation of our office and play a pivotal role in enhancing overall organisational efficiency.

Note: This is an on-site position, and the expectation is for the candidate to be present at our Cork office (HQ) at least four days per week.


Responsibilities

Executive Support:

  • Provide high-level administrative support to executives, including managing calendars, scheduling meetings and coordinating travel arrangements.
  • Draft and edit correspondence, reports, and presentations with a keen attention to detail.
  • Act as a gatekeeper, screening and prioritising communications and maintaining confidentiality of sensitive information.
  • Conduct research and provide information to executives

Office Management:

  • Oversee daily office operations to ensure a well-organised and efficient work environment.
  • Manage office supplies, equipment and vendors, negotiating contracts and seeking cost-effective solutions.

Communication and Coordination:

  • Serve as a liaison between executives and internal/external stakeholders, ensuring effective communication and follow-up.
  • Facilitate seamless communication within the office, promoting a collaborative and positive work culture.
  • Coordinate and organise company events, meetings and conferences, both on-site and off-site.

Record Keeping and Documentation:

  • Maintain accurate and organised records, including confidential documents and files.
  • Prepare and distribute meeting agendas, minutes and other relevant documentation.
  • Assist in the preparation of reports and presentations for executive review.

 

Qualifications/Experience

  • Proven experience as an Executive Assistant or similar role, with a track record of supporting high-level executives.
  • Previous experience in office management and administration.
  • Strong organisational and time-management skills, with the ability to prioritise tasks effectively.
  • Excellent written and verbal communication skills, with a high level of professionalism.
  • Proficient in Microsoft Office Suite and other relevant software.
  • Ability to handle sensitive information with discretion and maintain confidentiality.
  • Proactive problem solver with a positive and adaptable attitude.
  • Bachelor’s degree in Business Administration or related field is preferred.
  • Previous experience in a similar role within the industry is an advantage.
