We use your name and email only to run the Women in Cybersecurity Academy. Optional testimonials and photos need your explicit consent, which you can withdraw anytime. Registration data is deleted or anonymised 12 months after the programme ends.

Processing of participant data for registration, course delivery, and communications is based on legitimate interest and contractual necessity (GDPR Articles 6(1)(b) and 6(1)(f)).

Processing for testimonials, photos, or promotional use is based on explicit consent (Article 6(1)(a)).

This ensures data is handled lawfully, proportionately, and transparently, with consent required only for optional publicity.

The approach simplifies onboarding, clearly separates operational processing from voluntary uses, and demonstrates accountability under GDPR.

By joining the Women in Cybersecurity Academy, participants acknowledge that their personal data (full name and email address provided during registration) will be processed for the purpose of administering and delivering the programme.

Course materials, communications, and access links are sent directly to participants using secure channels. In certain cases, such as optional group work or peer-to-peer collaboration, participants may choose to share their own contact details with others in the cohort.

A recorded demonstration session is provided for learning purposes and is stored securely within our internal Teams environment and shared with participants on a view-only basis.

Testimonials, photographs, or any personal data intended for publication or marketing are collected only with the participant's explicit consent.

Participant information is retained in our systems (HubSpot) only for as long as necessary to manage the programme and related communications, after which it will be deleted or anonymised in line with our retention policy.

Retention

  • Participant registration and communication data stored in HubSpot should be retained for 12 months following completion of the programme, then deleted or anonymised.
  • Testimonials, recordings, and associated consent records should be retained for as long as they are actively in use and securely deleted once withdrawn or no longer relevant.
